Letter To the Editter

Parts of A Letter, and format/outline of the Letter.

Most of the time people write a letter to the Editor to highlight an issue/problem which  prevails in the society. These kinds of letters mostly have seven (7) parts.

These seven  parts are following:

  1. Heading:

Write the sender (who is sending the letter) address, and date at the left side. In this section a few things  have to be kept in mind.

  • After address use comma ( , )
  • After city name use full-stop ( . )
  • Date must be written in this way: 8th April, 2024
  • After year do not use full-stop.

This is the way to write the address of sender:

Examination Hall,

City ABC.

23rd May, 2022

2.               Editor’s Address:

Editor address would also be on the left side of the letter, but leave one line before writing. In first, and in second line comma, and after writing city ABC then full-stop.

Below  is the right  way to write the address of Editor (receiver/recipient):

The Editor,

The Nation,

City ABC.

3.               Subject:

This is the very important portion of your letter in which the subject of the letter has been written in short form. It is also a technique to write just the issue which is going to be discussed. That will be written after the editor address.

4.               Salutation:

Standard words that are used to address the person being written to. They are Dear Sir, Dear Madam, Respected Sir/Madam, or Dear Ma’am.

5.               Body of The Letter:

There is a specific style of writing a letter, which begins with a few lines of introduction. Then,

the issue is discussed in detail. After that, the solution to the problem is presented. However, it is

important to exclude irrelevant details. The body should consist of three paragraphs, and each

 paragraph should be brief.

6.               Conclusion/Subscription:

The letter is concluded by these words: Yours truly, Yours sincerely,

7.               Writer’s Name;

In the examination’s letter the writer of the letter does not mention his/her name. Rather only

 writes  X.Y.Z.

Below  is the right  way to write the conclusion & writer name:

1. Write a letter to the editor of a newspaper regarding begging on the road signals (Board 2022)

The Editor,

City ABC.

Subject: Regarding Begging on the Road Signals

Sir,

I would like to draw your attention towards a very serious issue which is not only prevailing but also increasing day by day in our society. That is the anathema of bagging. No doubt, poor people exist in every society but, for most of the people, bagging  is the easiest source of making money. Therefore we should condemn it. Moreover as we see the increase of bagging, that is alarming. Many of them are capable of working and earning a living through honest means but find begging to be an easier alternative.

On the other, mindless almsgiving fuels this problem, they not only encourage but also support them, whenever we condemn them. Before giving money, we should consider whether the beggars at these signals genuinely need our help.

Our religion strongly condemns professional  bagging, and emphasizes hard working. We should consider this matter seriously. Therefore, I request that you provide appropriate coverage of this social issue in your esteemed daily.

Yours truly,

X.Y.Z.

2. Write a letter to the District Health Officer about unsanitary conditions in your locality.

 Examination Hall,

City ABC.

18th April, 2022

The District Health Officer,

District ABC.

 Subject: Unsanitary Conditions

Sir,

I hope this letter finds you in good health. I am writing to draw your kind attention to the unsanitary conditions prevailing in our area. ABC Market, one of the biggest business centers in our area, has been suffering from severe sanitation issues that require urgent attention.

The sewerage system in this locality is very old and faulty. The old pipes are unable to withstand the high pressure of wastewater, resulting in continuous overflow of filthy water. This makes it almost impossible for people to walk through the streets safely. Despite repeated complaints, the sanitary inspector has not taken any measures to address this problem.

Additionally, there are piles of garbage accumulated in various parts of the area. This not only creates a foul odor but also poses a significant health risk. The filthy environment

Yours sincerely,

XYZ.

The Editor,

Daily "The Nation"

City ABC.

 Subject: Rash Driving/Reckless Driving

 Dear Sir,

I am writing to express my concern over the increasing incidents of rash and reckless driving. The frequent violation of traffic rules, over speeding, and disregard for safety by many drivers have led to numerous accidents and pose a serious threat to pedestrians and other road users.

Despite the presence of traffic police, enforcement seems weak. Better enforcement of traffic laws and improved road conditions are urgently needed.

I urge the city administration and traffic police to enforce stricter traffic laws, conduct road safety awareness campaigns, and improve road infrastructure. Harsher penalties for violations should be introduced to deter reckless driving.

We must all adhere to traffic rules to ensure the safety of everyone on the road. I hope this letter will prompt action to make our roads safer.

Thank you for addressing this pressing issue.

Yours sincerely,

X.Y.Z.

20th July, 2022

The Editor,

 Subject: Poor Hygienic Conditions

 Dear Sir,

I am writing to draw attention to the poor hygienic conditions near to school. Streets are littered with garbage, and the outdated sewage system frequently overflows, creating unsanitary conditions that pose serious health risks to residents.

Despite numerous complaints, little has been done to address these issues. The accumulation of waste and stagnant water can lead to the spread of diseases, making it imperative for the authorities to act swiftly.

I urge the concerned authorities to improve waste management and upgrade the sewage system to ensure a clean and healthy environment for everyone.

Thank you for highlighting this pressing issue.

Yours sincerely,

X.Y.Z.

5. Write a letter to the editor of a newspaper in absence of the sports facilities.

Examination Hall,

City ABC.

September, 2022

The Editor,

Daily "The Nation"

City ABC.

 Subject: Absence of Sports Facilities

 Sir,

I am writing to express my concern about the lack of sports facilities in our area. This absence of recreational infrastructure is a significant issue affecting both the physical and mental well-being of residents, especially the youth.

Engaging in sports is crucial for promoting a healthy lifestyle and fostering community spirit. However, the limited availability of sports fields, gyms, and recreational centers in our area has left many residents with no opportunities for regular physical activity. This not only discourages healthy habits but also deprives young people of the chance to develop important life skills through sports.

I urge the local authorities to recognize the importance of sports facilities and take immediate steps to provide adequate resources. Establishing new parks, sports complexes, and recreational centers would greatly benefit the community by encouraging active living and providing a safe environment for all age groups to engage in physical activities.

Thank you for bringing attention to this vital issue.

Yours sincerely,

X.Y.Z.

6. Write a letter to the editor regarding students’ access to the school library in the evening.

Examination Hall,

City ABC.

September, 2022

The Editor,

Daily "The Nation"

City ABC.

Subject: Students’ Access to School library in the Evening

Sir,

I am writing to highlight an issue that affects many students in our community—the lack of access to the school library during the evening hours. For many students, especially those with busy daytime schedules, the evening is the only feasible time to study and utilize library resources.

The school library is an essential resource for students, providing access to a wide range of books, research materials, and a quiet environment conducive to studying. Extending library hours into the evening would greatly benefit students who need a space to study after school hours, particularly those who may not have a suitable environment at home.

Allowing evening access to the library would support academic success and foster a love for learning. I urge the school administration and local authorities to consider this request and extend library hours to accommodate the needs of all students.

Thank you for your attention to this important matter.

Yours sincerely.

X.Y.Z.

7. Write a letter to the editor of a newspaper about the bad condition of a road that is in need of repair.

Examination Hall,

City ABC.

20th September, 2022

The Editor,

Daily "The Nation" City ABC.

Subject: Bad Road Condition

 Sir,

I am writing to bring attention to the deteriorating condition of [Road Name] in [Your Area/City]. This road has not  been repair for an extended period, posing significant safety hazards to both drivers and pedestrians.

The road is riddled with potholes, uneven surfaces, and cracks, making it extremely difficult to navigate. These conditions have led to numerous accidents and vehicle damages, particularly during rainy weather when the potholes become filled with water, making them invisible to drivers. Additionally, the poor road condition has caused traffic congestion, further aggravating the problem.

Despite multiple complaints from residents, no substantial action has been taken to address these issues. It is crucial that the local authorities prioritize the repair and maintenance of this road to ensure the safety and convenience of all who use it.

I urge the concerned authorities to take immediate action to repair [Road Name] and improve its condition. This will not only enhance safety but also contribute to smoother traffic flow and better connectivity within our area.

Thank you for highlighting this pressing issue.

Yours sincerely.

X.Y.Z.
