1: Report on Safety Measures in the School Building (grade 7)

To, The Principle of the Federal College Islamabad.                      Date: 25. 8. 2025.

From: X.Y.Z.

Subject: Safety Measures in the School Building

Introduction: Ensuring student safety within the school premises is of utmost importance.
A secure environment allows students to focus on learning without fear. Therefore, schools must implement effective safety measures at all entry and exit points.

The Report:
Recently, there have been concerns about unauthorized individuals entering the school premises. The current number of guards is insufficient to monitor all school gates effectively. This lack of surveillance increases the risk of safety breaches. Moreover, during arrival and dismissal times, crowd management becomes difficult. As a result, both parents and teachers have raised concerns regarding the existing security setup.

Conclusion:
School safety is a shared responsibility that requires proper planning and resources. Having more guards will help maintain discipline and proper monitoring.
It will also ensure that no unauthorized person can enter the premises unnoticed.
Hence, upgrading the current system is both urgent and necessary.

Suggestions

  1. Increase the number of trained security guards at all school entrances and exits.

  2. Install visitor log systems and ID checks at entry points.

  3. Conduct regular safety drills and checks to assess and improve security measures.

  4. Install the CCTV cameras in the secluded place of the school.

2: Write a report to the principal on the school assembly activities( Grade 7)

To, The principle of the Federal College Islamabad.                         Date: 28. 8. 2025

From: X.Y.Z.

Subject: School Assembly activities

Introduction: The school assembly plays a vital role in shaping students' discipline and moral values. It provides a platform for important announcements and student participation. Therefore, it is essential to review and maintain the quality of school assembly activities.

Report:
Recently, it has been observed that student engagement during the school assembly has decreased. Some students arrive late or do not pay full attention during the proceedings. Moreover, morning drill/exercise is crucial for the boys to keep them active and agile. It is an essential part of the assembly. Besides this, the sound system often malfunctions, making it difficult to hear announcements clearly.
                                                                                                                                          Conclusion:
According to the above detail. The placement of a fine-quality sound system is mandatory to convey the clear message to the audience. Moreover, morning exercise/drill should be implemented with immediate effect on a regular basis.

Suggestions

  1. Introduce theme-based assemblies with varied activities each week.

  2. Repair and regularly maintain the sound system to ensure clear communication.

  3. Involve more students in organizing and presenting different segments of the assembly.

Q.3. Suppose you are an area reporter of a national daily. Write a report to The Editor
on poor drainage system in your area and the resulting problems as faced by the
people of the area. Your report should cover the following points:

                                                                                      Date: April 9, 2022

Subject: Poor Drainage System in Area ABC.

Introduction: A good drainage system is an important part of any city’s
infrastructure. As more people move into cities, having a proper sanitary system with
smooth drainage is very important for a healthy life. However, the drainage system
in the most crowded part of city ABC is in bad shape. After carefully looking at the
situation, I have prepared the following points.

The Report:

The drainage system in this area includes a sewerage network and a planned
street layout. There are also sewerage channels (nullahs) meant to carry rainwater and
waste out of the residential areas to disposal plants. Sadly, all three parts of the system
are in very poor condition. The sewerage system is poorly maintained, and many
residents throw all sorts of waste into the gutters, causing blockages and overflow
of dirty water at several spots.

Initially, the streets were well-leveled, allowing rainwater to flow easily into
the nullahs. However, constant digging for development projects has badly damaged
the streets, creating pools of stagnant water. Recent work by PTCL to lay optical
fiber cables and by SNGPL to install a new gas pipeline has made the situation
even worse.

The residents are suffering greatly because of these problems. The worst
impact is on public health, especially among children, who often play in the stagnant
water. Diseases like cholera, typhoid, and jaundice are becoming more common.
Besides health issues, stagnant water causes trouble for motorcyclists and
pedestrians, as passing vehicles often splash dirty water on them, and accidents
from slipping are also frequent.

When it comes to local authorities, they seem completely indifferent. The
municipal committee, the city development authority, and the health department
are all avoiding their responsibilities. Their careless attitude only adds to the
people's suffering and shows a lack of concern for the serious issues faced by
 the community.

Conclusion: It is clear from the above details that the problem is very serious
and needs immediate attention. The concerned authorities must act quickly. If
proper steps are not taken soon, many streets will become impossible to live in.

Suggestion and Recommendation:

I.   Effective interdepartmental coordination should be established to mitigate
infrastructural damages arising from poorly executed development
activities.

ll. Civil society must engage and mobilize the relevant authorities, urging
them to undertake necessary repairs of streets and the replacement of
obstructed or damaged sewer lines.

LLL. Citizens must be enlightened regarding their civic rights and
responsibilities and encouraged to organize committees to address such
issues through collective self-help initiatives.

lV.  Media organizations should actively highlight public grievances to
compel action from those in positions of power.

Q. 3.Write a Report on the condition of the library building, reading

hall and seating capacity Number of books and magazines available for

 borrowing

Subject: Condition of the College Library

Introduction: The library is a vital part of any educational institution. Students cannot
become effective learners without cultivating good reading habits. A well-maintained
library attracts those seeking knowledge and plays a crucial role in fostering a passion
for learning and an appreciation for knowledge. Our college has a library as well, and
in accordance with your instructions, I have prepared a report on its state.

The Report:

Our library is located on the second floor of the administration block of the
college building. It includes a reading hall, a librarian’s office, and over fifty medium-
sized racks and cupboards for storing books. The reading area is furnished with long
tables surrounded by chairs, and there are five reading stands for newspapers. The
cleanliness of the reading hall is generally satisfactory, and the space is quite large.
However, being on the second floor, it becomes very hot and stuffy during the
summer months.

The core of the library is its collection of books. It holds around five thousand books
spread across various sections. One cupboard is dedicated to textbooks, while the
reference section includes a wide range of encyclopedias, dictionaries, record books
such as the Guinness Book of World Records, atlases, and maps. The Great Books
Series is also part of the reference collection.

However, the library has not yet replaced the older edition of the Encyclopedia
Britannica with the latest version. The library is organized into several sections,
including Education, Islamic,  Tafseer and Hadith, Islamic Jurisprudence,
Islamic History, Science, Philosophy, Economics, Mathematics, World History,
War, Literature, Psychology, Political Science, and Mass Communication.
There is also a miscellaneous section that includes sociology books and other
topics not covered by the main sections. All the books in these sections are authentic
 and reliable.

However, with the rapid pace of global change, many new books containing updated
knowledge have been published. Over the past ten years, only a few new books have
been added to the collection. There is no dedicated research section, so students
cannot access research papers or theses, although magazines on current affairs and
science and technology provide some assistance. While the internet is available, there
are not enough computers, and students are not permitted to use their cell phones,
 making the internet less useful.

Conclusion:

Overall, the library is in decent condition, but there is certainly potential
for improvement. The following suggestions are provided to enhance the library and
make it more beneficial for both students and faculty.

Suggestions and Recommendations:

While some improvements have been made recently, additional steps are
recommended to make this vital aspect of the college more beneficial and better
suited to the needs of today’s learners and knowledge seekers.

i. New books should be purchased to update and expand the library's resources.

ii. The selection of magazines and newspapers should be reviewed to remove outdated
ones and introduce those with high-quality content.

iii. The E-library section requires focused attention. A dedicated hall should be
established for research and internet use, and the e-libraries of various global
universities should be linked to the college’s e-library.

vi. The main reading hall's conditions should be improved by enhancing ventilation
or installing air conditioning, if possible. Additionally, the number and quality of
lights should be upgraded to create a more comfortable and enjoyable reading
 environment.
